1. Information We Collect

We may collect and process the following data:

Information you provide to us: This includes information you fill in on forms on our website (e.g., contact forms), details provided when you enquire about our services, and data you provide when you become a client. This may include your name, address, email address, phone number, and business details.

Technical Information: When you visit our website, we may automatically collect your IP address, browser type, and information about your visit (e.g., pages viewed) using cookies. For more details, please see our Cookie Policy.

Client Service Data: If you are a client, we will collect the necessary personal and financial data required to provide our accounting and tax services, as detailed in our client engagement letter.

Enquiries, quotations and onboarding through our client portal

Our website’s enquiry and quotation forms are provided by our client portal at portal.milestoneaccountants.co.uk, which Milestone Accountants Ltd operates. When you ask for a quotation we collect your name, email address, phone number, business name and the answers you give about your business, so we can give you a price, send it to you and contact you about it. If you accept the quotation, we email you a private onboarding link, and the details you have already given are filled in so you do not need to enter them again.

If you search for your company by name, the search is sent to Companies House to find the company’s public record (its name, number, registered office and formation date). If you are a new business, Companies House’s formation date is used to check whether our new-business discount applies.

The portal is hosted on Microsoft Azure in the United Kingdom. If you accept a quotation, we may record it in Xero, our accounting software, so we can invoice our fees. Quotations that do not go ahead are kept only as long as we need them to respond to you and for our records, in line with the retention periods in this policy.
